1. What this policy covers
This Privacy Policy describes how DispatchHQ (“DispatchHQ,” “we,” “us”) collects, uses, shares, and safeguards information about freight brokerages that subscribe to the platform and truck carriers who receive load offers via the platform. By using DispatchHQ you agree to the practices described here.
2. Information we collect
2.1 From brokerages
- Account info: name, email, password (hashed), brokerage name, MC#/DOT#, business address.
- Load info: origin, destination, equipment, rate, pickup/delivery dates, commodity, weight.
- Carrier records the brokerage uploads or creates: company name, MC#/DOT#, phone, email, equipment, lanes, rate history, notes.
- Usage telemetry: pages viewed, features used, IP address, user agent, session timestamps.
2.2 From carriers
- Identity: company name, driver name, MC#/DOT#, phone number, email, home base.
- Equipment + lanes: trailer types, specialties, fleet size.
- Consent records: timestamped TCPA SMS-consent acknowledgement and Driver Terms of Service acceptance, with the form version that was shown.
- SMS messages we send to or receive from your number, including delivery status from the carrier (e.g. T-Mobile, AT&T, Verizon).
- Optional location: when you opt into ambient live-location share or post a check-in, we record your latitude/longitude with a timestamp. You can disable this at any time from the driver app.
2.3 From third parties
- FMCSA: when a brokerage looks up a carrier by MC# or DOT#, we query the FMCSA SAFER Web Services API and store the public regulatory record (legal name, authority, address, equipment, insurance status).
- Geocoding: we send origin/destination/home-base addresses to a geocoding provider to convert them into lat/lng coordinates for mapping and proximity ranking.
- Twilio: we use Twilio for SMS delivery. Twilio receives your phone number and the message body in order to deliver the SMS.
3. How we use your information
- Match open loads to eligible carriers based on equipment, location, lane history, and predicted availability.
- Send SMS load offers, follow-up nudges, accept/decline confirmations, and rate confirmations to carriers who have given prior express written consent.
- Generate the “Top 5 to call now” ranking and the carrier-intelligence predictions used by the broker dashboard.
- Maintain a system-of-record audit log of platform events (TCPA compliance — 5-year retention).
- Push events to brokerage-configured outbound webhooks (HubSpot, Salesforce, Sales Tracker, etc.) when the brokerage has set up an integration.
- Detect and prevent fraud, abuse, opt-out evasion, and platform misuse.
- Communicate with you about your account, the service, and material changes to these terms.
4. How we share your information
We do not sell your personal information. We do not share information for marketing purposes. We share only as follows:
- Between brokerages and carriers transacting on the platform: when a brokerage offers you a load, the brokerage sees your name, equipment, lanes, response history, and rate history. When you accept a load, the brokerage receives the rate confirmation and contact info needed to dispatch.
- Across brokerages (carriers in shared pool only): if your brokerage opts into the shared carrier pool, your platform-level reputation (response rate, acceptance rate, on-time rate over a 90-day window) is visible to other shared brokerages. Brokerages in “private” pool mode do not expose their carriers across the platform.
- Service providers under contract: Twilio (SMS delivery), Resend (email delivery), Render (hosting), and our geocoding provider, each acting as a sub-processor under contractual obligations to use the data only as instructed by us.
- To brokerage-configured outbound webhooks: when a brokerage sets up an integration in /settings/webhooks, we POST signed event payloads to the URL the brokerage chose. The brokerage controls those endpoints; what happens to data after it leaves DispatchHQ is governed by that downstream system's policies.
- To comply with law: in response to lawful subpoenas, court orders, or government requests, or to enforce our Terms.
- In a business transaction: if 1 Stop Resolutions LLC is acquired, merged, or sells substantially all assets, your information may transfer to the successor under the same protections.
5. SMS, TCPA, and 10DLC
Carriers opt in to receive SMS load offers by completing the signup form at dispatchhq.live/d/signup or by claiming a directory listing at dispatchhq.live/claim. Both flows present two separate, non-preselected SMS-consent checkboxes: (a) a required consent to receive account-related texts (login verification codes, security alerts, and account notifications), and (b) a separate optional consent to receive freight-opportunity notifications. You may opt into either independently, and you must also accept the Driver Terms of Service. Message frequency varies and message & data rates may apply.
Each consent’s timestamp, IP address, and form version are recorded server-side. Reply STOP to any DispatchHQ SMS to opt out; Twilio Advanced Opt-Out honors the request immediately and within the TCPA-required 10-business-day window. Reply HELP for contact information. Standard message and data rates apply.
5.1 Mobile information sharing
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Phone numbers, SMS opt-in status, SMS consent records, and the contents of SMS messages we send to or receive from you are used only to operate the DispatchHQ load-dispatch service. Phone numbers are shared only with (a) the freight brokerage whose load you accept, so the brokerage can dispatch you, and (b) Twilio, our SMS-delivery sub-processor under contract. Phone numbers and SMS opt-in data are never sold, rented, licensed, or shared with any third party or affiliate for marketing or promotional purposes.
6. Location data
Location collection is opt-in for carriers. You can disable ambient live-location share at any time from the driver app under Settings → Live Location. Disabling stops new location pings; existing pings remain in the audit log per Section 9 (Retention). Brokerages do not see real-time GPS unless you have explicitly enabled live-location share or you have an active load (in which case the brokerage sees check-in pings you post during the haul).
7. Security
Passwords are stored hashed with bcrypt. All traffic between your device and DispatchHQ is encrypted in transit via TLS. Database connections to our hosting provider use TLS/SSL. Audit events, SMS records, and consent records are append-only.
No system is perfectly secure. If we discover a security incident affecting your information we will notify you and any required regulators consistent with applicable breach-notification laws.
8. Your rights
- Access & correction. Brokerages can view and edit their account, brokerage profile, and carrier records inside the app. Carriers can view and edit their profile under /d/profile.
- Deletion. Carriers may request deletion of their personal information by emailing dispatchhq@dispatchhq.live. We will delete identifiable data within 30 days, retaining only the aggregate reputation metrics required for platform integrity and the audit-log entries required by TCPA / 10DLC compliance.
- Opt-out of SMS. Reply STOP to any DispatchHQ message at any time.
- Outbound webhook data. If a brokerage you have transacted with has an outbound webhook configured, your transaction data may have been sent to a third-party system the brokerage controls. Contact the brokerage directly to request deletion downstream.
- State-specific rights. Residents of California, Colorado, Connecticut, Virginia, Utah, and other states with comprehensive privacy laws may have additional rights (right to know, right to delete, right to portability, right to correct, right to opt out of targeted advertising / sale — DispatchHQ does not sell information or engage in cross-context behavioral advertising). 9. Retention
- Account records: while your account is active, plus 90 days after closure.
- Audit-event log (TCPA / 10DLC system-of-record): 5 years from event date.
- SMS message log: 18 months from send date.
- Location pings: 90 days from collection.
- Webhook delivery log: 30 days (auto-pruned by scheduled job).
10. Children
DispatchHQ is a B2B freight platform. We do not knowingly collect information from anyone under 18.
11. International users
DispatchHQ operates from the United States. If you access the platform from outside the U.S., your information will be transferred to and processed in the U.S. By using the platform you consent to that transfer.
12. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be announced in-app and the “Effective” date at the top of this page will be updated. For carriers, material changes that affect SMS practices will trigger a re-acceptance prompt on next login.
